    The ASEAN Finance & Admin Manager will be based in SOPEXA Singapore Office with the operational team. He/She reports directly to the APAC Director based in Singapore and the APAC Finance Director based in Tokyo. He/She is responsible for management control, administrative and accounting tasks of 3 SOPEXA Agencies. 1 Singapore-Vietnam Finance & Admin Manager based in Ho Chi Minh City and 1 accountant will report to him/her.

    He/She is the business partner of the 3 agencies and works closely with the agencies directors/managers and the Accounts/Projects team.

    He/She manages the Finance control of the 3 agencies and supervises the administrative, accounting, and financial management of the agency while ensuring compliance with legal and contractual frameworks.



    Management control activities:

    • Monitor and validate the operating budget
    • Prepare the monthly, quarterly, and annual management charts and reports
    • Anticipate the quarterly closing, by preparing the financial situation of on-going projects
    • Regularly monitor the management indicators set up to evaluate the agency's activity
    • Assess the causes and effects of discrepancies identified between objectives and achievements and propose corrective actions
    • Manage for each contract the services agreement accordingly
    • Monitor local regulations and make the necessary changes
    • Provide information and advice to the operational staff
    • Monitor client budgets
    • Ensure the invoicing and the input of invoices (at the deadlines indicated on the estimate) + collection
    • Follow up on outstanding receivables
    • Implement and monitor internal procedures
    • Monitor budgets with the operational staff to ensure that there are no leftovers or overruns.


    Supervise Accounting activities with the support of local teammenbers:

    • Accounting journal records,
    • Supervise payrolls every month. Give instructions to service providers
    • Prepare the clients invoicing closely with the operational team in charge
    • Coordinate, verify, enter, and collect accounting data
    • Coordination with the bank and the accounting agency
    • Monitor local regulations regarding expense reports
    • Establish regularly and control the legal accounting documents in coordination with the tax firm, the annual balance sheets, income statements, closing accounts...)
    • Control related activities: tax (tax calculations, declarations...), social (salaries, social balance sheets...), patrimonial (real estate, insurance...)
    • Coordinate and manage the accounting and tax firm
    • Other duties assigned by the APAC Finance director and / or the APAC Managing Director.


    Administrative activities functions:

    • Supervise insurance contracts
    • Supervise Contract with suppliers regarding operations
    • Supervise the visa application for employees in ASEAN
    • Supervise the Establishment of employment contracts and maintain personnel files
    • Management of letters, logistics, etc.
    • Regular purchase of services and supplies
    • Other duties assigned by the APAC Finance Director and / or the APAC Managing Director



    • Assist project managers when needed
    • Assist the Managing Director when required
    • To be force of proposal for the well-being of the collaborators.



    • Languages: English – fluent | French - fluent. Able to communicate easily in French on technical topics with the HQ in Paris
    • Good administrative knowledge and accounting
    • Reliable, dynamic, and able to meet expectations
    • Good team spirit and well organized
    • Able to work effectively under pressure
    • Good computer skills and notably in Excel
    • Motivated and Strength of Proposal
