Finance and Administrative Manager
Sopexa is looking for a FINANCE AND ADMINISTRATION MANAGER to be based in Düsseldorf :
Manage the administrative, accounting, and financial tasks of the agency in compliance with the group procedures and ensure conformity to the local legislation
Implement and control the execution of the group procedures
Create, validate and keep up with the agency operating budget in collaboration with the Agency Director.
Prepare the performance indicators and the quarterly and annual reports.
Control the management indicators established to follow and evaluate the agency activity and profitability.
Analyze the gaps and propose corrective actions plan.
Insure the regulatory monitoring and its compliance of the Agency with the regulations.
Assist the managers in the management of their activity.
Support and control the project managers in the elaboration of their quotes.
Keep up with the clients’ budgets.
Create the reports based on the available information in the CRM.
Ensure efficiency and accuracy of the the invoicing.
Prepare the financial reports (EU, OCM etc..).
Create and structure the agency numerical data (balance sheets, income statements, monthly reports, performance indicators etc..).
Coordinate, verify, enter and gather accounting data.
Keep up with the local regulation and insure everything is in compliance with it.
Create and control regularly the legal accounting documents in coordination with the the annual balance sheets, income statements and statements of accounts.
Control the related activities: tax (tax calculations, tax statements…), social (payroll, social reports…), legal (estate, insurance...)
Lead and direct the accounting and tax advisors.
Define and implement the recovery process of receivable.
Manage the relationships with the banks and auditors.
Fiscal and Legal
Manage the relationships with the legal advisors concerning the legal processes.
Establish the fiscal statements and insure the tax audits follow up.
Management Control and Procedures
Communicate, follow and verify the correct implementation of the group procedures (especially the closing procedures).
Implement and follow internal procedures.
Manage the insurance contracts based on the broker’s advices.
Contractualize with the suppliers to insure day to day operations.
Establish contracts of employment and manage employees’ files.
Establish pay slips or give instructions to the HR contractors.
Insure administrative management of the private retirement plans.
Manage HR administrative data et contribute to the right application of HR reports procedures.
Keep up with the regulations and insure everything is in compliance with it.
Manage the team: supervisory, animation, coordination, evaluation, motivation and training.
Ensure effective planning and work assignment among the team.
Develop the different skills required for the proper functioning of the team.
Perfect mastery and knowledge of the French accounting, financial and fiscal processes.
ERP Knowledge (JDE, SAP, Oracle)
Mastery of IT tools, especially Windows Pack,
Proficiency in management and management control.
Knowledge of cost accounting in service industry.
Knowledge of labor laws and companies of the country as well as employees’ management procedures.
Language = Fluent in Germany and English, French is a plus.
